This section outlines the key operational guidelines and responsibilities for using the HKUST Website Builder, ensuring consistency, stability, and accountability across all University websites.

Domain Name Convention

All websites created using the HKUST Website Builder must follow the official domain naming format:

[unit-name].hkust.edu.hk


Examples:
  • seng.hkust.edu.hk for the School of Engineering
  • researchlab.hkust.edu.hk for a research unit

Guidelines:
  • Domains must be reviewed by ITSO to ensure consistency and avoid duplication.
  • If separators are needed in the domain name, use a hyphen (-) instead of an underscore (_).
  • The domain name length should not exceed 15 characters, including symbols.
  • Only English letters, numbers, and the hyphen (-) are allowed.
  • Before applying, check in a web browser to ensure the domain is not already in use.
  • Subdomain structures such as [dept].[website-name].hkust.edu.hk are not allowed on the Drupal platform.

Upgrade & Deployment

To maintain stability and predictability, all production environment (PRD) updates follow a fixed deployment schedule:

  • Deployment Days: Every Tuesday and Thursday
  • Deployment Window: 9:00 AM – 5:30 PM HKT
  • Emergency fixes may be deployed outside this window with prior approval.
Upgrade
  • Feature enhancements and bug fixes are bundled into scheduled releases.

Roles & Responsibilities
 

Website Ownership

Each website built using the HKUST Website Builder is owned by the respective department. The owning department is responsible for:

  • Content creation and updates
  • Ensuring accuracy and relevance of published information
  • Assigning and managing editors and contributors
  • Complying with University policies on digital content and accessibility

Role of MTPC

The Media Technology and Publishing Center (MTPC) provides:

  • Design and branding consultation
  • Template development and visual standards
  • Editorial guidance and content best practices
  • Training and onboarding support
  • Collaboration on major feature enhancements

Role of ITSO

The Information Technology Services Office (ITSO) oversees:

  • Platform development and maintenance
  • Infrastructure, hosting, and security
  • Technical support and troubleshooting
  • Deployment and upgrade management
  • Domain name approval and configuration
